💳 2. PRICING & SECURE PAYMENTS

Transparent Prices:

All pricing is quoted in US Dollars (converted at the daily exchange rate to Vietnamese Dong) and represents the most accurate rates at the time of publication. Prices typically reflect land-only, low-season, twin-share arrangements unless stated otherwise. While we strive to maintain our published prices, rare adjustments may be necessary due to variables beyond our control, such as sudden currency fluctuations or government tax changes. We will always communicate any changes proactively.

Secure Online Payments:

Your financial security is our top priority. Global By Bike integrates with PayPal and ACB — Vietnam’s most prestigious bank—to provide a highly secure payment gateway.

• All credit card details (VISA, MasterCard, JCB, Amex) are processed in a heavily encrypted environment using Secure Sockets Layer (SSL) technology.
• We do not store your international card information on our local servers. All payment data is handled securely by MasterCard’s PCI Security Standards.
• Note: A standard 2.9% administrative, non-refundable fee applies to credit card transactions.

✅ Deposit & Payment Schedule To ensure a seamless cycling adventure and secure the exact services you requested, Global By Bike applies the following payment milestones. Due to the high demand and limited availability of specialized cycling logistics (accommodations, bikes, expert guides) during peak travel seasons, a timely deposit is crucial to lock in your perfect trip.

• 1. The Deposit (Securing Your Spot): Once we have customized and finalized your tour itinerary, we will send you the official confirmation and deposit request. Your deposit must be paid within 7 days (1 week) from the date this final confirmation is sent. This deposit guarantees that all your requested services are securely held under your name.
• 2. The Final Balance: The remaining balance of your tour cost must be paid in full at least 45 days prior to your scheduled departure date.
• 3. Overdue Deposits & Re-booking: If we do not receive your deposit within the 7-day window after sending the finalized itinerary, our system will automatically release the preliminary holds on your accommodations and services. Should you decide to proceed with the booking after this period, we will be happy to assist you; however, we will need to re-check availability and issue a new quote based on the updated prices and available services at that time.

🔄 3. CANCELLATIONS & AMENDMENTS

Cancellations by the Traveler:

We understand that unexpected events happen. If you need to cancel your tour, please notify us in writing. Cancellation fees are calculated per person based on the notice period given prior to arrival:

• More than 45 days: The initial deposit is retained by Global By Bike.
• 30 to 44 days: 25% of the total tour cost OR USD300 (whichever is greater).
• 15 to 29 days: 50% of the total tour cost OR USD 300 (whichever is greater).
• Within 15 days (or no-show): 100% of the total tour cost.
  (Note: Flights, cruises, and train tickets are subject to the specific cancellation policies of the respective carriers).

Flexible Amendments by the Traveler:

To give you peace of mind, Global By Bike offers one FREE amendment to your itinerary if requested at least 15 days before departure. Please note that third-party suppliers (airlines, hotels) may charge their own amendment fees, and name changes on flights are often treated as cancellations by airlines.

Cancellations by Global By Bike:

We meticulously plan every ride. However, we reserve the right to amend or cancel an itinerary due to extreme weather, safety concerns, or circumstances beyond our control. In such rare cases, we will offer alternative arrangements. We are not liable for external travel arrangements (like independently booked flights) affected by these changes.

🧳 4. PREPARATION & RESPONSIBILITIES

Travel Insurance (Highly Recommended):

For absolute peace of mind while cycling, we require all passengers to hold comprehensive travel insurance before departure. This should cover baggage, personal accidents, medical emergencies, and trip cancellation/interruption.

Passports & Visas:

Please ensure your passport has at least 6 months of validity remaining from your departure date. Obtaining the correct visas (including transit visas) is the traveler’s responsibility, though our team is always happy to offer guidance.

Travel Documents:

Your finalized travel documents will be issued approximately two weeks before your tour begins, provided full payment has been received. Please ensure all names match your passport exactly to avoid issues with airlines or accommodations.

Liability Disclaimer:

Global By Bike is dedicated to your safety and joy. However, we exclude liability for any indirect loss, injury, or damage arising from the supply of services, except where liability cannot be legally excluded (in which case it is limited to the value of the purchased travel arrangements).
